How The Reptile Club and HatchLog handle your data.
The Reptile Club and HatchLog (collectively, “we”, “our”, or “us”) are operated by The Reptile Club LLC, based in Utah, United States. The Reptile Club operates the public Registry at reptileclub.com; HatchLog is the breeder app used to keep private working records and submit animals for Registry review. This Privacy Policy explains what information we collect, how we use it, and what rights you have over your data.
Information we collect
We collect the following categories of information:
- Account information: your name, email address, and password (stored as a hash). Optional profile information you choose to add, including a location (city/region/country) for breeder accounts. Location, if provided, is shown publicly alongside your breeder identity on The Reptile Club's public Registry surfaces. The current surface is your Registry record at reptileclub.com. Additional surfaces may be added as the Registry grows. You can change or remove your location at any time from your account page.
- Breeder identity: the breeder name (brand) you claim, and any optional profile details you choose to add to it, such as a bio, a website, and social links. Your breeder name is public. It is recorded on the registrations you produce under it and, when your breeder page is set to public, appears in the browsable breeder directory at reptileclub.com/breeders. You choose public or private when you claim the name, and you may change that choice at any time in the HatchLog app or on your account page.
- Records you create: information you enter into HatchLog (animals, clutches, hatch dates, weights, photos, notes, and breeder profile data). Your photo library is private to you. Only the photos you choose to publish to a Certificate of Pedigree (up to three per animal) become public. If you subscribe to HatchLog Pro, your private records and photos are backed up to our cloud storage so they survive device loss. That backup is private to you and is not part of the public Registry.
- Pedigree facts: when a registration is approved, the accepted Registry record (such as parent links where accepted, hatch date where supplied and accepted, sex where supplied, morph or trait information handled under Registry rules, producer attribution, accepted lineage, and the photos you choose to publish to the certificate) is recorded in the public Registry of The Reptile Club.
- Usage information: diagnostic and usage data such as device type, OS version, app version, IP address (used for coarse geographic reporting and abuse prevention), crash logs, and basic analytics events. We use this to keep the app working.
- Purchase history: if you subscribe to HatchLog Pro or buy Registry credits, we record what you bought and your subscription status (active, expired, free trial) so the app knows what features to unlock and how many credits you have. Payment is processed by Apple or Google for purchases made in the app, or by Lemon Squeezy for purchases made on reptileclub.com. We never see or store your card number.
How we use your information
- To provide and operate the HatchLog app and the Registry website;
- To issue and verify Certificates of Pedigree;
- To respond to your support requests;
- To send you essential account, billing, and security communications;
- To diagnose problems, fix bugs, and improve the Service.
Data storage and security
We store data on managed cloud infrastructure (Google Cloud / Firebase) with industry-standard encryption in transit and at rest. We follow reasonable security practices but no system is perfectly secure; you use the Service at your own risk.
Third-party services
We use a small number of third-party services to operate The Reptile Club and HatchLog. Each has its own published privacy practices that govern the data they receive.
For the HatchLog mobile app:
- Google Firebase: provides authentication, database (Firestore), file storage, and analytics.
- RevenueCat: handles receipt validation for subscriptions and credit purchases, and tracks subscription status across devices. Receives your app user ID and purchase history. Does not receive your name, email, or other personal information.
- Apple App Store and Google Play: process payments for HatchLog Pro subscriptions and Registry credit purchases made in the app. Card details are handled entirely by these platforms. We do not see or store them.
For the reptileclub.com website:
- Google Firebase: provides authentication, hosting, and analytics for the website.
- Web3Forms: processes contact-form messages submitted through the Contact page on the website.
- Lemon Squeezy: our merchant of record for purchases made on reptileclub.com. Processes payment and collects applicable tax for HatchLog Pro subscriptions and Registry credit purchases. Card details are handled entirely by Lemon Squeezy. We do not see or store them.
We share only the data necessary for each service to perform its function.
Data sharing
We do not sell your personal information. We share data only as necessary to operate the Service, comply with the law, or protect our rights and the rights of others. Pedigree facts you publish to the Registry are public by design (that is the point of a public registry) and are visible to anyone with the RC code.
A claimed breeder name also produces a public breeder page in The Reptile Club. When that page is set to public, your breeder identity appears in the browsable breeder directory at reptileclub.com/breeders, which means it can be found by browsing and not only by looking up an RC code. You choose whether your breeder page is public or private, and you may change that choice at any time in the HatchLog app or on your account page. Setting it to private removes the directory listing and the public page. It does not remove registrations you have issued or the producer attribution recorded on them, which remain part of the public record of the Registry. Data retention and deletion
We retain account data for as long as your account is active. You can delete your account at any time from within the HatchLog app (Settings → Delete account), or by emailing support@reptileclub.com. We will remove your account and personal data within 30 days. Pedigrees you have issued to the public Registry remain on the public record after account deletion, but they will no longer be linked to your personal account. This is essential to the integrity of the lineage system; pedigrees that could be erased on demand would not be a credible record.
Your breeder page and its directory listing are not part of the permanent registration record. You may set your breeder page to private at any time, which removes it from public view and from the breeder directory. The registrations you have issued, and the breeder name recorded on them as producer attribution, remain on the public Registry as described above.

Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you;
- Correct inaccurate personal data;
- Request deletion of your personal data, subject to the Registry exception above;
- Object to or restrict certain processing;
- Receive your data in a portable format.

Children’s privacy
HatchLog is not directed to children under 13, and we do not knowingly collect personal information from children under 13. In the European Economic Area and the United Kingdom, the minimum age to consent to data processing can be higher, up to 16 depending on the country, and that higher age applies where local law requires it. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced via an in-app notice or by email. The “Last updated” date at the top of the page reflects when the policy was last changed.
